Privacy Policy

1. Introduction

Selec (“Company,” “we,” “us,” or “our”) operates the select.app platform (the “Service”). This Privacy Policy describes how we collect, use, disclose, store, and protect information when you access or use our Service, visit our website, or otherwise interact with us. By using the Service, you acknowledge that you have read and understood this Privacy Policy and consent to the practices described herein.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your name, email address, and authentication credentials. Organization administrators may also provide organization name, billing details, team member information, and other business-related data.

2.2 Submission Data

When applicants submit applications through the Service, we collect the data they provide in their submissions, including contact information, form responses, uploaded files, and any other data submitted through selection processes. This data is controlled by the organization that created the selection process; we process it on their behalf.

2.3 Usage and Device Data

We automatically collect information about how you interact with the Service, including but not limited to: pages visited, features used, actions taken, timestamps, frequency and duration of activities, referring URLs, IP addresses, browser type and version, operating system, device type, device identifiers, screen resolution, language preferences, and general geographic location derived from IP address.

2.4 Log Data

Our servers automatically record information created by your use of the Service (“Log Data”), including requests, IP addresses, browser types, referring pages, pages visited, search terms, and error data. We retain Log Data for operational, analytical, and security purposes.

2.5 Information from Third Parties

We may receive information about you from third-party services you use to authenticate (e.g., identity providers), payment processors, analytics providers, and other partners. We may combine this information with other data we collect about you.

3. How We Use Your Information

We use collected information to:

  • Provide, operate, maintain, and improve the Service.
  • Process transactions, manage subscriptions, and send billing-related communications.
  • Send transactional and operational communications, including submission confirmations, offer notifications, waitlist updates, security alerts, and account-related notices.
  • Enforce our Terms of Service and protect against fraud, abuse, and misuse.
  • Respond to support requests and communicate about your account.
  • Generate aggregated, anonymized, or de-identified analytics and insights to improve and develop the Service, which we may use for any purpose without restriction.
  • Monitor and analyze usage trends, performance, and functionality of the Service.
  • Develop new products, services, features, and functionality.
  • Comply with legal obligations, resolve disputes, and enforce our agreements.
  • Protect the rights, property, and safety of Selec, our users, and the public.

4. Data Processing Roles

Organizations that use Selec to run selection processes act as data controllers for the submission data collected through their processes. Selec acts as a data processor on behalf of these organizations with respect to submission data. We are not responsible for the data handling practices of organizations using the Service. Applicants should refer to the organization's own privacy notice for information about how their submission data is used, stored, and shared. With respect to account data, usage data, and other data we collect directly from users for our own purposes, we act as the data controller.

5. Data Sharing and Disclosure

We do not sell your personal information. We may share or disclose information in the following circumstances:

  • Service providers and subprocessors: We share data with third-party vendors who assist in operating the Service, including hosting, email delivery, payment processing, error monitoring, analytics, and customer support. These providers are contractually required to protect your data and use it only for the purposes we specify.
  • Organization administrators:Organization administrators have access to submission data submitted through their selection processes and to usage data related to their organization's account.
  • Legal compliance and protection: We may disclose information when we believe in good faith that disclosure is necessary to comply with applicable law, regulation, legal process, or governmental request; to enforce our Terms, including investigation of potential violations; to detect, prevent, or address fraud, security, or technical issues; or to protect the rights, property, or safety of Selec, our users, or the public.
  • Business transfers: In connection with any merger, acquisition, reorganization, sale of assets, financing, or bankruptcy, your information may be transferred or disclosed as part of the transaction. We will notify you of any such change in ownership or control of your personal information.
  • Aggregated or de-identified data: We may share aggregated, anonymized, or de-identified data that cannot reasonably be used to identify you, for any purpose, without restriction.
  • With your consent: We may share information with third parties when you have given us explicit consent to do so.

6. International Data Transfers

Your information may be transferred to, stored, and processed in countries other than your country of residence, including the United States, where data protection laws may differ from those of your jurisdiction. By using the Service, you consent to the transfer of your information to such countries. Where required by applicable law, we will implement appropriate safeguards, such as standard contractual clauses, to protect your data during international transfers.

7. Data Security

We implement commercially reasonable administrative, technical, and physical security measures designed to protect your data, including encryption in transit (TLS), access controls, and regular security assessments. However, no method of electronic transmission or storage is completely secure, and we cannot and do not guarantee absolute security. You acknowledge that you provide your information at your own risk. We are not responsible for circumvention of any privacy settings or security measures contained on the Service.

8. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, enforce our agreements, and exercise our rights. Submission data is retained according to the organization's lifecycle settings. We may retain certain data in anonymized or aggregated form indefinitely. When an account or organization is deleted, we will make reasonable efforts to delete or de-identify associated personal data, subject to legal retention obligations, backup processes, and technical limitations. We are under no obligation to delete data from backups, logs, or archives on any particular schedule.

9. Your Rights

Depending on your jurisdiction and subject to applicable law, you may have certain rights regarding your personal data, including the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate personal data.
  • Request deletion of your personal data, subject to legal exceptions.
  • Object to or restrict certain processing of your data.
  • Request portability of your data in a structured, machine-readable format.
  • Withdraw consent where processing is based on consent, without affecting the lawfulness of prior processing.

To exercise these rights, contact us at privacy@select.app. We will respond to verifiable requests within the timeframe required by applicable law. We may deny requests that are excessive, repetitive, or unfounded, or where exceptions apply under applicable law. We reserve the right to verify your identity before processing any request. If you are an applicant whose data was submitted through an organization's selection process, please contact that organization directly to exercise your data rights, as they are the data controller for your submission data.

10. California Privacy Rights (CCPA/CPRA)

If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), including the right to know what personal information we collect, disclose, or sell; the right to request deletion; the right to opt out of the sale or sharing of personal information; and the right to non-discrimination for exercising your rights. 11. European Data Subject Rights (GDPR)

If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, you have rights under the General Data Protection Regulation (GDPR) and related laws. Our legal bases for processing personal data include: performance of a contract (to provide the Service), legitimate interests (to operate, improve, and secure the Service), compliance with legal obligations, and consent where applicable. You may have the right to lodge a complaint with your local supervisory authority.

12. Cookies and Tracking Technologies

We use cookies and similar tracking technologies (such as local storage, pixels, and beacons) to operate and administer the Service, authenticate users, remember preferences, and analyze usage. These include:

  • Essential cookies: Required for authentication, session management, and core functionality. These cannot be disabled.
  • Analytics cookies: Used to understand how the Service is used, measure performance, and improve features. Configured to respect applicable user privacy preferences.

We do not use third-party advertising cookies. You can manage cookie preferences through your browser settings, but disabling certain cookies may affect the functionality of the Service.

13. Children's Privacy

The Service is not directed to children under 16. We do not knowingly collect personal information from children under 16. If we learn that we have collected personal information from a child under 16, we will take reasonable steps to delete such information promptly. 14. Do Not Track

Some browsers transmit “Do Not Track” (DNT) signals. There is no uniform standard for interpreting DNT signals. We do not currently respond to DNT signals but will reassess this practice as standards evolve.

15. Third-Party Links and Services

The Service may contain links to third-party websites or services that are not operated by us. We have no control over, and assume no responsibility for, the content, privacy policies, or practices of any third-party websites or services. Your interactions with third-party services are governed by that third party's terms and policies.

16. Changes to This Policy

We may update this Privacy Policy at any time at our sole discretion. We will post the revised policy on the Service and update the “Effective date” above. Material changes will be communicated via email or through the Service with at least thirty (30) days' notice. Your continued use of the Service after the revised policy takes effect constitutes your acceptance of the updated Privacy Policy. If you do not agree with the revised policy, you must stop using the Service.
